Computer Security


Security is a priority of the current Administration since last year when a state laptop was reported stolen with sensitive data on it. We continue to work with DOIT, to ensure that DEP’s computers meet the State’s requirements for security. As part of this security plan all desktops will have a screen saver activated with password protection set to 15 minutes. This ensures when an employee leaves their workspace for the allotted time no one will be able to access their computer without proper credentials. In addition, the new PC’s will not allow individual users to load software. Authorization and assistance is required from the Systems Administrator. Requests will need to be made through the Help Desk.

Please note that your user name will be consistent with your Outlook user name consisting of Last Name and First Initial.

There are a few simple steps you can take to protect data stored on your computer, prevent others from accessing your computer and prevent others from accessing the network through your computer. Failure to follow these techniques exposes your computer and the data stored on it to unnecessary risks.


Network Access (Logon Passwords)

  • Network passwords should be changed from the default password that was given to you when your computer was installed.
  • Network passwords should be at least 5 characters in length.
  • Network passwords should be changed periodically (i.e., 30 or 60 days)
  • To change your network password:
    • Click the keys CTRL + ALT + DEL simultaneously.
    • Click on "Change Password" button.
    • On right hand side of dialogue box, type your old password, then tab to the next box.
    • Type your new password (at least 5 characters in length), then tab to the next box.
    • Retype new password in the "Confirm New Password" box
    • Click "Ok"

PC and Phone Location Change


The PC & Phone location change form is used for moving/adding/changing the physical location of PCs and phones within 79 Elm Street and field locations. The form should be filled out at least 1 week prior to the move/add/change target date. (Form may be filled out online and printed for authorized signatures.)

Once the form is completed and signed, please return it to the Help Desk, 79 Elm Street, 6th Floor.

Hints for filling out form:

  • If moving to a new buildout, the New Phone Extension and New Jack # may not be known - please type "new" in the specified field.
  • All computer related equipment that is moving location should be listed with asset numbers. (If there are unique moves like the monitor is staying in its current location but the CPU is moving please include instructions in the "Explanation of Request" field)
  • If there are hunt groups required with a phone move, please include the hierarchy and staff names with extensions in the "Explanation of Request" field.
  • Any network changes (ex. New employee in existing cubicle, moves to another bureau) should use the "Network Additions and Removal" form.
  • Some Phone and PC moves/adds/changes may require a "Telephone Service Request" (TSR) form. The Help Desk will return requests that require a TSR with the additional form attached. A TSR form is always required for phone changes outside 79 Elm Street.
  • If a phone move involves a seasonal or consultant please check the appropriate field. This is necessary to assist telecommunications in updating the DEEP phone book since seasonals and consultants are not included and therefore do not need to be updated.
